In Rethink:
1 | Navigate to the Reporting Dashboard in Rethink | The Reporting Dashboard houses the Billing Export where you will ultimately download your billing data from. |
2 | Go to Billing Export under the Scheduling Section | Set criteria for data to be pulled such as:
*Late Entries will pull any appointments that were marked as ‘Complete’ after date range has already been pulled for billing. |
3 | Download Excel | Click ‘Download File’ and select ‘Excel’ |
4 | Audit Export | Once file downloads, audit data & save file once completed. View our Billing Export to refer to columns that |
5 | Export to Kareo | Click ‘Export to Kareo’, choose file & upload |
6 | Refresh Batch History | Click the refresh icon next to Billing Export Batches This will show your batch at the top of the list and the status will read ‘In Process’ Click the refresh button periodically to see the status update Refer to https://rethinkautism.atlassian.net/l/c/e5k1xvrN if your file Fails Once Status reads Success, finish process in Kareo outlined below |
In Kareo:
1 | Navigate to Drafts in Kareo | In Kareo, go to Encounters > Find Encounter Select the ‘Drafts’ tab |
2 | Approve Claims | Highlight all claims in the Draft bucket and right click or click ‘Actions’ and select ‘Approve’ if all charges are ready to be billed. If you need to hold onto claims, utilize the ‘Save as Review’ option. |
3 | Submit Electronic Claims | Navigate to Encounters > Submit Electronic Claims This is where you will see a total number of claims pending electronic submission. Specify criteria, if applicable, and click 'Submit' to send claims to the clearinghouse. Note: this will mark all claims that went out electronically as ‘Pending Insurance’. Anything still under the ‘Ready’ status is stuck in a paper status |
4 | Print Paper Claims | Navigate to Encounters > Track Claims Status > Ready to Print Paper Claims Click ‘Find Now’ to refresh your screen Any claims showing here are stuck in a paper status and will need to be printed in order to be marked ‘Pending Insurance’. Highlight claims needing to be printed, right click or click ‘Actions’ and select ‘Print Paper Claim’. A pop-up box will then appear asking if you want to print with/without the background, make selection and print. Another pop-up box will appear asking if the form printed correctly, select YES if you want to mark the claims as billed which would then mark them as ‘Pending Insurance’. |
