Ensure each Role is given appropriate File Cabinet Permissions by navigating to Settings>Staff Member>Roles

  • Filing Cabinet Permissions: Please be sure to ALWAYS select VIEW in order to access the file cabinet. Additionally, if you choose the SHARED FOLDER ONLY option, this will override the view of all other Folders in the Filing Cabinet

    • Typically, the Shared Folder Only option is reserved for Parent/Guardian Contacts, or perhaps front line staff

To access the File Cabinet, navigate to Clients>Click on the Client Name>File Cabinet

  • The Client’s Filing Cabinet consists of ALL FOLDERS and SHARED FOLDERS

    • All Folders is an area typically meant for staff

    • Shared Folders is an area typically reserved for Contacts (parents/caregivers)

  • For any of the autopopulated auto populated folders, you can Edit edit the title, choose to Share share the folder, or delete all together

  • Funder Reports will save within Treatment Files if you choose to Save to the File Cabinet

  • The “Session Note” folder will not be visible until the Client’s first session note is created and saved

    • Once a note is saved on the appointment, it will automatically save in the client’s filing cabinet

Add New Folders and Upload Files

Click +Add New Folder, name the new folder, and click SAVE. You can also choose to make a Shared Folder by marking the applicable check box and selecting User(s) to share it with via the drop down (parents/caregivers will show in the drop down once they register for their Rethink parent account)

Click Upload File, select the folder you want the file to be in, and choose the file to be uploaded. Add optional tags for reporting purposes, and click Upload.

  • Files can be uploaded to the folders within the Filing Cabinet if given the permission

  • Files can be videos, word documents, PDFs, and images

View, Copy, Download, Delete, Move, Rename, or Tag File(s)

  • Filter for file(s) by Keyword, Added By, Created Date, Tag, Tag Effective Date, and/or Tag Expiration Date

  • The options within the actions column is how staff can interact with that file

  • Tags need to be created in Settings in order to add tags to folders within the file cabinet. Learn more about file cabinet tagging here:Copy Of How to Use File Cabinet Tagging
