Provide users access to session note drafts

Navigate to Settings>Staff

Member>Roles

Member Settings>Roles and check the permission

- Access Session Note Drafts

“Access Previous Session Notes” (Under the Scheduler section) to enable users to access and recover session note drafts.

  • If you are a Role 4 user then you have permission to recover the session note draft, by default

  • This permission should come auto-selected for Roles 1-4

  • Recommend providing this option to any user who has permission “verify appointments”

What type of session notes will users be able to view, access and restore?

Users will see the following note types as options in the View Previous activity drop down list:

  1. Draft: Manually or Auto Saved by System

  2. Previously Submitted: A note that was in the filing cabinet but replaced by a newer version

  3. Filing Cabinet: Session note version is currently in the client filing cabinet

  • Notes will be listed with the most recent on top

  • Label includes session note template name, note type, date, time and user who was logged into the note

  • Up to 10 notes can be displayed at a time

How to Access and restore session note drafts

Click on Edit Note in the Session Note page:

Click on View Previous Activity Drop Down Field

  • Selecting the session note draft from the View Previous Activity dropdown will load the Session Note in the users view.

  • Click on Restore to replace the saved session note with the selected session note draft and Submit the note

  • Make any edits (if needed) then click Submit to save the note to the client filing cabinet

  • Click on Undo if you need to cancel the selection and go back to the originally saved session note.

  • (Super Important) If a session note was previously submitted to the client filing cabinet and a draft is recovered, the session note in the client filing cabinet will remain there until the note in the appointment is submitted.

  • If the Session Note has previously saved drafts, you will see a View Session Note Drafts drop-down field that will list the previous draftsThere must be at least 1 previously saved note for the View Previous Activity drop down field to be visible.

  • The selected draft will not replace your originally saved session note until you click the Restore button.

  • The most recent draft will be on top of the list

  • When user clicks “restore” the system will save the note to the appointment and the client filing cabinet.

  • A session note currently in the client filing cabinet will only display in the View Previous Activity drop down for the following scenarios:

    • The session note in the appointment has been deleted but the note that was deleted from the appointment is still in the filing cabinet

    • User changes the session note template in appointment, saves as a draft and the previous version is still saved to the filing cabinet.

    • The session note in the client file cabinet has been deleted but the same session note is still in the appointment.

System Auto Save Feature

Rethink will auto save every 5 minutes when a user is in edit mode of the session note.

  • If no edits have been made currently Rethink will auto save the note you were editing regardless. (working on future enhancements for this functionality)

  • Before leaving the session note page be sure the changes you wanted to be completed have been updated.
