Adding Secondary Insurance in Kareo

Purpose: Setting up additional funders/authorizations for clients in Kareo in order to bill secondary policies before passing applicable charges onto the patient.

Step 1: Navigate to the patient chart in Kareo

Kareo > Patients > Find Patients > Search and select the patient needing secondary policy info added

You can also click the icon below to open up ‘Find Patients’

 

Step 2: Open up Patient Cases

 

Once the client chart is opened, select the ‘Cases’ tab

Open the current active case with primary policy information that came from Rethink during initial batch

You will always add the secondary funder to the client’s primary policy information.

Step 3: Add Secondary Policy Info

Once current case is open, click ‘Add’ to add secondary policy information in Order # 2

Select funder for secondary policy and add policy details, click ‘Save’ - you should then see the secondary policy in the 2nd Order

 

Step 4: Add Secondary Authorization Info

Next, navigate to the ‘Authorizations’ tab to enter the secondary authorization information to be added to the claim once passed on to secondary funder, click ‘Add’

Select secondary policy and add authorization details and any notes for authorization

Click ‘Save’ once added

Note - Kareo does not input # of hours (if ABA specific), recommendation is to enter 9999 visits and add hours in the notes or convert to visits

Step 5: Save Changes

Save all screens until you are back to the ‘Find Patients’ screen to assure all changes have been saved in each section. If you close out of your screen without saving, all changes will be lost.

 

Important to Note:

Secondary policy/authorizations are directly managed in Kareo due to limiting the ability to select via the schedule in Rethink. This will allow users to only select primary funder policy/authorizations to bill appropriately. Once primary processes the claim, the system will then automatically queue payor 2 to be billed if set up properly instead of passing any applicable charges over to the patient.

Secondary authorizations need to be manually added onto the secondary claim prior to billing the secondary funder if authorization is required, otherwise, the primary authorization will remain attached to the claim.

In order to catch these charges, prior to billing, always review claims in your ‘Ready’ status that have ‘Secondary’ listed in the ‘Billed As’ column in Kareo.
