Attendance Tab: Features and UI Explanation

When selected, the Attendance tab is underlined and highlighted in blue. The default view is the current year’s integrated data for Absences and Tardies. There is a drop down selector for the User to choose which to view: Absence or Tardy information. The Attendance Tab contains the following for Absences and Tardies:

  • Tier information box

  • Graph

  • Chart

Tier Notices, Tier Levels, Indicators are also included for Attendance although the formulas are dependent upon the calculation method chosen. There is also a difference for the text shown when the Information icon(s) is hover/clicked since those items explain the Tier Recommendations and Attendance Rate specific to the Attendance Method chosen (Percentage Based and Days Based- See Admin Settings Attendance Tab).

The district level Admin selects which method (Percentage Based or Days Based) will apply for their district prior to the start of the school year in Admin Settings and also by completing their Define School Year criteria.

Note: Integrated Data sets can be very different. If a district shares a data set where Attendance Status for Absences and Tardies are separated into two different columns, then including Tardy information is optional. It is possible to see only Absences throughout MTSS Dashboard. See Integration Insight box on District Dashboard Attendance Tab for more information about this special case.

Percentage Based (within first 28 days)

Because Percentage Based needs 4 weeks (28 calendar days) before a calculation is applied, the beginning of the school year will have a different look for a short time. For this time period and calculation method the Student Dashboard Attendance Tab contains the following:

  • Blue Pending Tier Recommendation

    • Reads: Tier recommendations for Attendance require 4 weeks of data

      • Once 4 weeks have passed, this is removed.

    • Tier Recommendation Box

      • Color of box is gray

        • Once 4 weeks have passed, the color of the box will reflect the Tier Level (White: Tier 1, Orange: Tier 2, Red: Tier 3)

      • Total Days Absent and Total Days Tardy are shown

      • Absence Rate and Tardy Rate contain no value (---)

        • Once 4 weeks have passed, Absence and Tardy Rates are shown

      • Days Absent / Days Tardy are included in the Day Mapper

Note: It is possible to not see the first 28 days view IF the first integration took place after 28 days of school has passed.

Key Insight: The images show an edited version to the recommended settings for collecting Percentage Based Attendance Data. See Admin settings for Attendance to learn more about the editing options District Level Admins have.

Percentage Based (post 28 days) Logic

At Risk Indicator

  • At Risk indicator shows when students % of Absences and / or % of Tardies is within 1% of cut off for the more intensive Tier as established in Admin Settings Attendance Tab

    • Students can have two indicators at the same time:

      • Example: Absence Tier 2 Indicator and Tardy Tier 3 Indicator

  • Attendance calculations are updated with the nightly sync.

Approaching Indicator

  • Approaching indicators function the same way as the At Risk indicators when student is within 1% of the cut off for a less intensive Tier.

Note: Since data is calculated nightly, expect to see At Risk and Approaching Indicators in close proximity around Tier level cut-offs.

At Risk Indicators Example: If the ranges for Absences established in Admin settings are:

Tier 1: 0% to 4%

Tier 2: 5% to 9%

Tier 3: 10% to 100%

Student X has missed 3% of the cumulative school days, then a Tier 2 At Risk indicator will show.

Student Y has missed 8.2% of the total cumulative school days, then a Tier 3 At Risk indicator will show.

Days Based

Days Based takes a different approach to calculating data. This method starts the count at the first day of school for both Absences and Tardies. A key difference is that Day Based has no way for the student to improve thus Approaching indicators would not apply here.

Days Based Logic

At Risk Indicator

  • At Risk Indicator shows when the days absent/ tardy has reached one day prior to the high range value for Tier 1 and Tier 2 established in Admin Settings Attendance.

  • At Risk Indicators apply to both Absences and Tardy values.

Key Insight: Although not shown in the images below, the criteria for Tiers can be different depending on Admin Settings for Absences and Tardies.

 

 

 

Both Percentage Based and Days Based contain:

  • Tier Notices

    • Orange: Tier 2

    • Red: Tier 3

    • Shown when the student’s Absences / Tardies reaches the minimum value for the Tier as established in Admin Settings Attendance Tab

Known issue: At this time, Tier Notices for Attendance cannot be removed. Unlike ELA/Math/Behavior/SEL where creating an Intervention Plan removes a Tier Notice, Attendance DOES NOT have an Intervention Plan. If User selects Take Action from an Attendance (Absence or Tardy) Tier Notice, they are taken to the Intervention Tab. The intention is for User to explore reasons for Attendance challenges among the four possibilities for an Intervention Plan. Stay tuned for updates.
