1.1.5.6 Alerts (Behavior Tracking) | Data Tracking | MTSS Suite

Need to identify students at risk due to lack of progress and students who may need a reduction in supports due to progress made.

User Stories:

  • As an administrator who is monitoring Behavior Tracking for multiple students in our building, I need an alerting system that lets me know if a student has not made progress for a specific time period so that I can determine if changes need to be made to the student’s behavior or academic goals.

  • As a classroom teacher who has created multiple Behavior Tracking objectives for a student, I need an alerting system that lets me know if my student has not made progress on a specific objective for a set number of weeks so that I can determine if a revision to the objective is necessary.

  • As a classroom teacher who has received an alert for a student’s behavior tracking, I need a way to see the lull in progress in a graphical representation so that I can quickly ascertain which day(s) were problematic for the student.

Acceptance Criteria:

  • Given I am a User with access to MTSS Interventions (all tools or Behavior Tracking enabled) and permission to Behavior Support > Receive Alerts.

  • If the above is true and a student contained in a classroom I have access to has triggered a behavior tracking alert, a new alert will appear for it in the bell on the top navigation bar.

  • Given I am an administrator who has received behavior tracking alert(s) for a particular student, the title Behavior Tracking will show beneath the student name.

  • Given the above is true the content for: date, time and alert setting criteria will be in order of the most recent alert first followed by the remaining alerts to the least recent.

  • Given an inactive mastered behavior has been changed to an active unmastered behavior, it can trigger an alert.

  • Given an inactive archived behavior has been changed to an active unarchived behavior, it can trigger an alert.

Section 1: Admin Alerts

UI:

  • Admin click on Alerts in the menu to see Behavior Alerts for a particular student and date range.

 

 

  • To view more or less specific information, the user clicks on the down arrow to open and the up arrow to close.

 

  • User clicks on the student name to see the student dashboard.

 

Admin Alert Bell

  • To view the alerts, user clicks on the Bell for New Alerts.

 

 

 

  • To open/close the tab and view the alerts for a specific building, user clicks on arrows.

Building Selection

  • To select a particular building to view, user has two options: Select the building from the drop down or click on the building link.

 

 

  • User sees their building selection.

 

  • To view the alerts for a specific classroom, user clicks on the down arrow.

 

  • To close the view for the alerts of a specific classroom, user clicks the up arrow.

 

  • To be taken to the Classroom Alerts (See section 2: Classroom Alerts), user clicks on Classroom link (Classroom 3).

  • To be taken to the Student Alerts (see section 3: Student Alerts), user clicks on the Student link. (Student)

 

Business Rules:

  • Users with access to MTSS Interventions (all tools or Behavior Tracking enabled) and permission to Behavior Support> Receive Alerts can see the Behavior Alerts page.

  • This menu option will only show if the user has permission to Receive Alerts (under Behavior Support) AND if there is an active alert in the read or unread messages

  • Follow established rules for Alerts. (See Alerts | Incident Reports | Behavior Suite)

  • An alert for Behavior Tracking will be triggered based on the alert settings for Behavior Tracking.

  • Behavior Tracking list is in order of the most recent to the least recent behavior tracking criteria triggering the alert.

  • The alert setting criteria from account setting is listed next to the date and time the Behavior Tracking alert was triggered, “2 weeks of no progress.”

  • Only active behaviors trigger alerts.

    • If student has an inactive behavior, it will not trigger an alert.

    • If a mastered behavior in an inactive state has been unmastered and restored to an active state, it can trigger an alert. (See View/Edit Behavior Tracking)

    • If an archived behavior in an inactive state has ben unarchived and restored to an an active state, it can trigger an alert. (See View/Edit Behavior Tracking)

  • Given a user clicks on a student, they are taken to the Student Dashboard. (See Section 3 below)

Admin Alert Bell

  • The number inside the bell and the number in the title of the page match-showing the number of current alerts. (See image: Admin Report. Bell has 83 Alerts.)

  • By default we will show All buildings, All grades, All Alerts. (See image: Admin Alert)

  • The drop down selection for All Alerts contains: All, Incidents, Behavior Plans, Intervention Plans, Behavior Tracking, Points / Behavior. (See image: Admin Alerts)

  • Given user selects open/close arrows for a specific building, we will open/close the tab to reveal the contents of the selected building. (See image: Admin Report. Look for open tab on Sunnyside K-4 and closed Tab for Hance 6-8)

  • The alerts for each building next to the tab match the number of alerts triggered for that building.

    • If possible, we would like to see an alert breakdown in the title Alert Categories. (Please see image: Admin Report for Sunnyside K-4 where the Alert Categories reads: Alert Categories: Intervention Plan (6), Behavior Plan (2), Incidents (2), Behavior Tracking (2), Points / Behavior ( 8 ).

    • The numbers inside the parenthesis would add together to match the alert number next to the expanding arrow for the Sunnyside K-4.

    • If this functionality is not possible, then the Alert Categories would include only the alert categories by name for the selected building.

      • Example if a building had at least one alert for each category: Alert Categories: Intervention Plan, Behavior Plan, Incidents, Behavior Tracking, Points / Behavior.

      • If a building did not have at least one alert for a specific category, we would leave that category off the list.

  • We will list the buildings in order of the number of Alerts with the building containing the highest number of Alerts first and remaining buildings continue from highest to lowest number of Alerts.

    • If there is more than one building with the same number of Alerts, we will list those buildings in alphabetical order. (See image: Admin Alerts. Look for Hance 6-8 and North 9-12)

Building Selection

  • Given user has selected a building from the drop down or clicked on the link for the building, we will show the user their building selection. (See image: Building Selection)

  • We will list each of the classrooms in the selected building according to the number of alerts with the classroom containing the highest number of alerts first and the rest following in the order of greatest to least.

  • If there is more than one classroom with the same number of alerts, we will show them in alphabetical order. (See image: Building Selection. Look for classroom names: Mr. Smith and Mrs. Zaboroski.

 


Section 2: Classroom Alerts

UI:

  • User clicks on Behavior from side navigation menu and clicks the Alerts tab to see the Behavior Tracking Alerts.

 

  • To view alerts for a specific student, user clicks on Alert tab.

 

  • To close the alerts view for a specific student, user clicks on Hide.

 

More than 5 items

  • To view additional items beyond 5, the user clicks Load More.

 

  • To view the specific information for each student on their individual student dashboard, the user clicks on the student name.

 

 

 

Business Rules:

  • If a behavior has triggered an alert, the user will see it listed from the most recent alert to the least recent alert.

  • Given there are more than 5 items for an alert criteria, we will list the first 5 in order of most recent date first and follow to the least recent.

    • Given 5 items are shown, then we will have a load more button and reveal the next items in groups of 5. (See image; More than 5)

  • If the student has history of behavior alerts beyond 30 days for Incidents and/or Points, we will show the View history link. (See: Incident Alerts in Section 3: Student Alerts for example)

  • If the student does not have history of beyond 30 days for Incidents and/or Points, we will not show the View history link.

  • View history is for the current school year only.

  • If the user clicks on the Student Name, they are taken to the Student Dashboard. (See image: Student Alerts)

  • Given more than one student triggers and alert in the same alert category on the same day, we will list the student in alphabetical order.

Alert Criteria for Incidents

  • Given the incident alert: Alert Criteria: 5 incident(s) within one month has been triggered, we will list the behaviors that were included for that count in order of the most recent to the least recent.

  • Given the incident alert: Alert Criteria: 5 incident(s) within one month has been triggered, we will count it as 1 alert in the Alert Bell Notification. (See image: Classroom. Look for Student Name 2 where Fighting Jan 9. 2020 begins the list for the alert criteria).

Alert Bell Notification:

  • The number of Alerts shown in the Alert Bell notification (See image: Classroom Alerts. Notice the bell symbol at the top with 11 Alerts) is calculated by the number of alert criteria reached.

    • For this example the following have triggered an alert for a total of 11 alerts

      • Student 1-Intervention Plan: Alert Criteria 2 days expired review date

      • Student 1-Intervention Plan: Alert Criteria 2 days before review date

      • Student 1-Behavior Plan Alerts: Alert Criteria 2 days before review date

      • Student 2-Incident Alerts: Alert criteria 10 days of in school suspension

        • If 10 days of in-school suspension included multiple incident reports, we will list the incident reports with the most recent appearing on top. (See next item immediately below for example)

      • Student 2- Incident Alerts-Alert criteria 5 incidents within one month

        • We will show each of the behaviors in the incident report that were included in the count according to date from the most recent to least recent.

      • Student 2-Points/Behavior- Alert criteria 10 negative instances within one week. (Bullying)

      • Student 2 Points/Behavior-Alert criteria 10 negative instances within one week. (Made fun…)

      • Student 3 Behavior Tracking- Alert criteria 2 weeks of no progress (Tantrum)

      • Student 3 Behavior Tracking- Alert criteria 2 weeks of no progress (Stay in seat)

      • Student 4 Incidents- 2 Alerts triggered (not shown in classroom picture)

View / Hide Alerts

  • If the student is not selected, then View alerts will show the number of alerts the student has. (See image: View Alerts)

  • If user has opened the view tab, then the number of alerts changes to Hide. (See image: Hide Alerts)

  • If the student is not selected, then we will show the Alert categories that are contained within the expanded tab above. (See image: View Alerts. Look for the text: Alert Categories: Incidents).

 

 


Section 3: Student Alerts

UI:

  • User clicks on Alerts on side navigation on Student Behavior Dashboard to view the current alerts.

 

  • User sees current alerts.

 

Sorting Alerts:

  • To sort the alerts, user clicks on sorting All Alerts in the upper right corner and selects the alerts they would like to see.

 

 

Viewing Alerts

  • To view incidents and points information that occurred 30 days or more prior, user clicks on View History.

  • To collapse incidents and points information so that history items are not longer in view, user clicks on Hide History.

  • To view more incidents and points history information, the user clicks on Load More.

 

For Intervention Alerts

  • User clicks on Update for intervention plan to see the intervention plan.

 

For Behavior Plan

  • User clicks on Update to see the current behavior plan.

 

For Behavior Tracking

  • To record data, user clicks on Record data link.

 

 

For Incident Alerts

  • The user clicks on the behavior to view the incident report.

 

  • User sees the incident report for that behavior.

 

For Points Alerts

  • The user clicks on view data to view the points report.

 

Business Rules:

Updated Design (See image: Current Alerts):

  • Given multiple alerts for the same alert category and criteria (Behavior Tracking Alerts, Incident Alerts, Points/ Behavior Alerts) have been reached within the most recent 30 days when Alert Criteria in included in priority alert status, then the most recent alert will show first followed in order of the most recent to the least recent. (See Behavior Tracking in image: Current Alerts).

  • Given alert criteria has been changed in account settings, then we will show the new alert criteria.

All Alerts Drop Down

  • We will default showing all of the alerts for the student.

    • The alert sorting drop down contains the following: All, Incidents, Behavior Plans, Intervention Plans, Behavior Tracking, Points/Behavior.

    • The alert sorting drop down is a single select. (See image: Alert Sort Drop Down)

Intervention Plan Alerts

  • If user selects Update link for Intervention plan alerts, they are taken to Create/Edit plan. ( See image: Intervention Plan-Location Link)

  • Given user has clicked on update and has made an update to the Intervention Plan (2 days prior or 2 days after alert criteria), then the alert will be removed.

  • Given user viewed but did not make an update to the Intervention Plan, then the alert will not be removed.

  • Given user has not clicked on Update, then the alert will not be removed.

  • Given the alert for 2 days before has expired, then it is replaced by the two days after alert if user has not made an update.

    • Example: Review date is Jan 8th, 2020. The 2 days prior alert will first appear on the Jan 6th, 2020. If the user does not update the plan from Jan 6th-Jan 9th, then the alert will remain. If on Jan 10th, a review has not been completed, then this alert is removed and replaced by the 2 days after alert.

    • Given the user has not updated from the 2 days past Update link, then the alert will remain until the user updates the plan.

Behavior Plan Alerts

  • If user selects Update link from the Behavior Plan alerts, they are taken to View/Edit plan. (See image: Behavior Plan-Location Link)

  • Given user has reviewed the behavior plan, then the alert will be removed. (See: Review Plan)

  • Given user has not reviewed the behavior plan, then the alert will not be removed.

  • Given user has not clicked on Update link, then the alert will not be removed.

  • Given the alert for 2 days before has expired, then it is replaced by the two days after alert.

    • Example: Review date is Jan 8th, 2020. The 2 days prior alert will first appear on the Jan 6th, 2020. If the user does not update the plan from Jan 6th-Jan 9th, then the alert will remain. If on Jan 10th, a review has not been completed, then this alert is removed and replaced by the 2 days after alert.

    • Given the user has not updated from the 2 days past Update link, then the alert will remain until the user updates the plan.

Behavior Tracking Alerts

  • We will include the data type for Behavior Tracking Alerts. (See image: Current Alerts. Look at examples: Tantrum ( Duration) and Stay in Seat (Frequency).

  • If user selects Record Data from Behavior Tracking Alert, they are taken to Record Data

  • Given user has clicked on Record data for a specific alert, then the alert will be removed.

  • Given user has not clicked on Record data for a specific alert, then the alert will not be removed.

Behavior Tracking Alert Criteria: 2 weeks of no progress ---Calculations / Use Cases

  • Given a behavior includes only a goal and no objectives and the goal has not been mastered withing 2 weeks, an alert for the behavior will be sent.

  • Given a behavior includes only a goal and no objectives and the goal has been mastered but later un-mastered and tracking resumed, the new calculation begins with the first data point collected after the behavior is un-mastered.

  • Given a behavior includes multiple objectives and the user has completed baseline collection, then we will begin data collection with the first data point entered for Objective 1.

    • Given objective 1 has not been mastered by the two weeks deadline, then the behavior tracking alert will be sent and remain a priority alert until objective 1 is mastered.

    • Given objective 1 has been mastered, the first data point collected for objective 2 starts the next calculation and follows the same logic for any additional objectives.

    • Given an objective has been mastered but is now un-mastered and tracking resumes, the new calculation begins with the first data point collected after the objective is un-mastered.

  • Given a behavior is mastered and user selects to continue monitoring, we will continue alerting user as mentioned above.

Incident Alerts

  • Incident alerts are placed in History 30 days after they first appear in priority alerts.

  • Given there are incidents past 30 days, then the View History expanding link will show.

  • Given there are no incidents past 30 days, then the View History expanding link will not show.

  • Given there are multiple incidents within the View History section, then they are organized with the most recent first and end with the least recent. (See image: Current Alerts. Look for incidents beginning with Last occurrence of Nov 1, 2020)

All Alert Types: Incidents

  • 10 days of in-school suspension or out of school suspension is counted within a school year (August -June).

    • The count for determining alert criteria does not carry over to a subsequent school year.

  • If user selects a behavior (10 in-school or 10 days out of school) from Incident Alerts, they are taken to view the student’s incident report. (See image: Incident Report)

  • If user selects a behavior (5 incidents within one month) from Incident Alerts, they are taken to view the student’s incident report. (See image: Incident Report)

  • If multiple behaviors types are included in the alert criteria, we will show the total number of behavior types under the Total Behaviors Types heading. (See image: Current Alerts. Look for alert criteria- 5 incidents within one month.)

    • If multiple incidents for the same behavior occurred, we list the dates in order of the most recent to the least recent. (See image: Current alerts. Look for Cheating and Left Classroom withing the alert criteria-5 incidents within one month.)

 

Points Alerts

  • If user selects View Data from the Points Alert, they are taken to the student’s points report. (See image: Points Report)

  • Given multiple behaviors have triggered the alert, we will list them in alphabetical order.

  • The date shown is the most recent occurrence of a behavior triggering the alert.


UI:

Empty State

 

  • To view past history for Points Behavior Alerts, the user clicks on “View History”.

 

  • To hide the Points/Behavior Alerts History, the user clicks on “Hide History”.

 

Business Rules:

  • Only the student dashboard will have Hide/show history.

  • Only incidents and behavior points will have hide/show history.

  • Given there is data that is beyond 30 days, then we will show the link for “View History”.

    • Given the user clicks view history, then the box will open to reveal the data. (See Image: Points Behavior History)

  • Given there is no data beyond 30 days, then we will not show the link for the show history.

  • Given there are no priority alerts, but there is history and the user clicks view history, then they will see the history of the alert. (See image: Points Behavior History) Look for Points Behavior Alerts at the bottom of the page.

  • Given the user is viewing “Hide History” and wants to return to only viewing the priority alerts, then the user clicks, “Hide History” (See image: Empty State, Notice the Points/Behavior Alerts).

  • Given there is data beyond 30 days for Incidents or Points / Behavior Alerts, then that data will be removed from the bell for current alerts.
