1. Setting up information in Rethink:

  1. LocationType

    1. Configure Office Locations codes (CENTER, CHILD & COMM) in Company Account> Location with name per Code column.

    2. The codes are case-sensitive. Please configure in upper case only.

    3. If Client Home is selected in the Location drop down of the Appointment then the value HOME will be sent to DPH. This is a default value that already exists in Rethink and does not need to be created as a Company Account location.

b. Configure the codes AA, BCBA, RVT, etc. in Description field in the Company Account > Staff Member Settings > Staff Credentials.

c. Ensure the credential is added to the Funders > Billing Codes and Staff Member Profile that will be added to the Appointments.

c. Clients who only have DPH funders without at least one non-DPH funder that contains a DPH service line will be considered “uninsured” by DPH(see section 5, service lines, for information on setting up a DPH service line.).

5. Service Line

  1. Ensure the Service Lines attached to appointments that need to be sent in the XML are checked with DPH setting in your Company Account > Service Lines.

6. Client Enrollment and Consent to Access Information (UPDATED 2/26/22)

  1. Enter the DPH assigned Enrollment Number into the Enrollment Number Field

  2. Select Consent to Access approval options Yes or No (updated 2/26/22)

  3. Enter the Consent to Access Start Date to document when you approved or denied access DPH to the client record.

 

7. Client Policy

For any client assigned to a DPH designated funder, keep the option “Is this a DPH funder Policy”

option selected.

(Optional) If the service line added to the client policy (see #5 above) is designated as a DPH Funder, then in the client policy

you will see field Autism Covered Benefit. You may select Yes, No or leave empty.

 

 

 

 

 

8. Scheduling/ Verifying Instructions:

  1. Please ensure appointments to be sent to DPH has Client Home or one of Office Locations (CENTER, CHILD & COMM) selected in the Appointment > Location. See examples below:

2. Please ensure the Actual start/ end times are entered in 15-minute increments only.

9. Downloading the Export

  1. Navigate to Reporting Dashboard > DPH Integration

  2. Filter for specific Service Lines, Funders, Clients, and Staff. By default, these fields will have all options selected

  3. Add the desired appointment date range(no more than one week)

  4. Use the checkboxes under appointment requirements to filter by specific appointment criteria

  5. Click on export button

  6. Please note that only appointments in completed status will be pulled into the export

 

10. Importing a DPH File

  1. in reporting dashboard>DPH Integration, click “import” to switch to the DPH import menu

2. In the import menu, click “Import”

 

3. Drag and drop or select the DPH results file to be imported, and click save to import file

 

4. To download the imported file, click the download icon

 

11. Uploading the Export to DPH System

  1. Click on the Upload EMR File

     

  2. On the Import EMR File Page, Click on Choose File

  3. Upload the XML file downloaded from Rethink > DPH Integration area.

  4. Wait (~15 miutes) for an EMR Import Results task to be created in My Tasks area. Click on the arrow icon to view the Results file

  5. Click on the file to download the results.
