Appointment List

Utilizing the Appointment List for review purposes can assist:

  • Schedulers in making appointment changes quickly

  • Supervisors in reviewing session notes, leaving comments on session notes for staff and ensuring services were delivered and completed as planned.

  • Billers and Payroll specialists in reviewing for what is ready or not ready to be billed to funders or paid to staff, prior to running the Billing Export or Payroll Export.

  1. Appointment List can be accessed on the scheduling tab.

 

Access to the Appointment List is determined by Role Permissions.

 

2. Click on the three black lines to open up the filter bar

 

 

3. The filters allow for selecting a specific subset of appointments

a. Appointment Date From/To: Currently, up to 90 days can be viewed at a time.

b. Place of Service -can select one or multiple, if desired.

c. Client- can select one or multiple, if desired.

d. Staff-defaults to Staff logged in, but can be removed by clicking the 'x'. Can select one or multiple, if desired.

e. Appointment Type-can select ‘All’ or any combination of the other three options.

 

 

 

  • EVV Billing View is only present for customers with EVV enabled in their account. Please reach out to your Customer Success Manager for any questions on EVV.

 

  • Leaving any filters blank will pull in all within that category. For example, if you leave the Place of Service filter blank, then your results will include all different Places of Service selected on appointments.

f. Service Line -can select one or multiple, if desired.

g. Service Name- can select one or multiple, if desired.

h. Appointment Location-if selected on the Appointment, can select ‘All’ or any combination of the other options.

i. Appointment Status-can select ‘All’ or any combination of the other options.

  • Scheduled means that the appointment is for a future date/time

  • Needs Verification means that the appointment time/date has passed but the appointment is missing something that is required per your appointment requirement settings on the Company Account

j. Session Note Status-can select ‘All’ or any combination of the other options.

k. Appointments with Billing Issues-can select ‘All’ or any combination of the other options.

l. Appointment Pay Types-can select ‘All’ or any combination of the other options.

 

 

  • An appointment may show with a status of ‘Needs Verification’ if any requirements are missing, so if you require a Session Note for a billable appointment (per your Company Account settings), the appointment will show as ‘needs verification’ until the note is submitted.

m. Authorization Requirement: Select ‘All’, ‘Yes’, or ‘No’

n. Created or Modified From/To dates: Enter specific date range for when new appointments were added and existing appointments were modified.

o. Validation Column-can select one or multiple, if desired.

p. Client Options- to include demo clients' appointments

 

 

4. Once all desired filters are selected, click ‘Submit’ to update your list.

 

 

5. List will update based on filters selected and total hours will display at the top of the screen.

 

 

6. Column header names can be clicked on to sort the list by that header. Clicking on the same header twice will reverse the sort order.

 

  • You will see a small arrow on the column header that you are sorting by-in the example to the left, this is the Date column.

7. Selecting all, one, or multiple appointments by checking the boxes to the far left, will allow for the ‘Actions’ option to appear.

Options will include:

  • Delete

  • Cancel

  • depending on your permissions & company account settings, you may also see options to ‘bulk’ verify

 

  • Selecting Delete will present a confirmation popup:

  • Selecting Cancel will present a cancellation popup window (with any cancellation subtypes you may have):

 

8. Actions Column on the Appointment List will allow you to open the individual appointment or an appointment series to make changes or review.

 

9. The appointment list can be exported to Excel for further review.

 

  • Additional fields are available on the Appointment List when exported. These include:

    • Scheduled Date

    • Modified Date

    • Staff Verification Address

    • Parent Verification Address

    • Paycode Name

    • Paycode
