The Florida Agency for Health Care Administration (AHCA) has contracted with Tellus to implement the AHCA Electronic Visit Verification (EVV) program for behavior analysis (BA) services for Medicaid Regions 9, 10, and 11 (Miami-Dade, Monroe, Broward, Indian River, Okeechobee, St. Lucie, Martin and Palm Beach) Counties. Rethink BH has integrated with Tellus based on the mandate that enables your organization to submit claims that require verification via Tellus.

Funders associated with appointments requiring EVV should have the EVV Verification Setting to Tellus
Navigate to Company Account > Funders > Medicaid > [Edit]
Select ‘Tellus’ as a value for Electronic Visit Verification
*Please note that you will see the Electronic Visit Verification field only when EVV is turned ON for your account (Step 1)

Tap clock in before you start rendering the service. Your clock-in time will be registered as the Actual Start Time of the Appointment. Please note you cannot collect data or enter session notes until you clock in.

Clocking Out
Tap Clock-Out to register your end time for the service(s) rendered. Please note that if you sync session without Clocking-Out then the system will auto-clock you out.
Tap the signature box in the Verify tab. The Actual Start and End Time under the Verify tab will reflect the Clocked-In and Clocked-Out Time. You will not be able to manually enter Actual Start End Times. You can re-clock in/ out until the session has been synced.
Good to know! - The clock in/ clock out feature is available only on Rethink’s mobile app. Staff Members will not be able to manually add verification times through the website.

The following setup must be completed before you are able to approve visits/ appointments
Navigate to Company Account > Roles > Edit Permissions > Scroll to Scheduler Permissions > Check or Ensure Appointment List and Mark as Approved permissions are checked
Navigate to Scheduling > Appointment List and slide the EVV Billing Review Toggle to review the EVV Appointments.
Appointments that are not sent to Tellus will have the EVV Status of Pending.
In order to send an Appointment/ Visit to Tellus, your Visit should at least have a Staff Verification.
Select the appointment(s) to be transmitted to Tellus by checking the checkboxes in the first column.
Click on the ‘Actions’ button and select Approve for EVV. The EVV Status of the selected Appointments will be updated to Approved.
A scheduled job will pick up appointments that have status of Approved and Date of TODAY and push them to Tellus. Once the push is complete the Status of the Appointment will be updated to Submitted.
The status update from Approved to Submitted should take about 30 minutes
Once the appointments are Submitted, Tellus will process the appointments and provide a response (in approximately 30 minutes). If there are no issues in the appointment information sent, then the EVV Status will be updated to Accepted status. If there are issues with the appointment, the EVV Status will be updated to Rejected. You can find the reason why your appointment was rejected in the Rejected Reason column of the EVV Billing Review List. You can fix the errors and then resend the visit.
