Understanding Credentials and Credential Types

Credentials are the individual qualifications, licenses, or trainings that are required for employees in your practice. Behavior Technician, BCBA, and RBT are credentials that are pre-populated into your system as they are commonly used.

Credential Types are the “grouping” of the credentials you may have in your practice. Education, HR Compliance, Professional, and Training are credential types that are pre-populated into your system and should capture a broad range of credentials.

Adding Staff Member Credential Types

From Settings, Click Staff Member and Credential Types

  • Click +Staff Credential Type to enter in a Credential Type that can be later used to categorize a Credential

  • Can Edit or Remove Credential Types within this field

  • A Staff Member Credential Type allows you to categorize the types of credentials your organization needs

  • The defaults within your account are examples and are up to each company to decide if they want to incorporate

  • Defaults values may be edited

  • Credential Types may be removed if they have not been assigned to any staff profiles

Adding Staff Member Credentials

From Settings, Click Staff Member and Credentials

  • Click +Staff Credential to enter the Credential, select the Credential Type, and add an optional description

  • Can Edit or Remove Credentials within this field

  • The defaults within your account are examples and are up to each company to decide if they want to incorporate. If any BT, RBT, and BCBA credential are used - recommended to click Edit and assign them the Credential Type of “Professional”

  • If adding in Non-Professional Credentials, examples include HIPPA Training, Safety Care Training, CPR Training, etc.

  • Credentials can be removed if they have not been assigned to any staff profiles

  • Credentials can be marked as inactive or active anytime

  • Inactive Staff Member Credentials will not be available to select as options when adding to staff profiles

 

 

Why are Credentials important to set up in your Rethink account?

Funder Services + Billing Code:

  • Restricting by professional credential who can provide what services

Staff Member Profile > License/Certifications:

  • Assigning licenses/credentials to staff profiles

  • Staff Member Credentials can be used in funder setup to restrict by professional credential who can provide each service as a way for Rethink to block anyone who is not credentialed to provide that service from accidently being scheduled

  • Staff Member Credentials will be added to Staff Member profiles with the option of entering an expiration date in order for Rethink to provide warnings when a credential will expire

Credentials in Roles & Permissions

To set up specific permissions regarding Credentials, go to Settings>Staff Member>Roles, Click Edit Permissions under the appropriate Role and scroll down to Staff Member Info

  • Users with “View” permission can only View Staff Credentials

  • Users with “Edit" permission can Add, Edit, and Delete Staff Credentials

  • Users with “Dismiss Credential Warnings” can dismiss warnings when their credential will expire in 30 days or has already expired. Once a credential warning has been dismissed, the system will no longer flag an expiring or expired credential

Credentials in Funder Setup

To set up specific funder rules based on Credentials, go to Settings>Funder, click View next to the appropriate funder, click Edit, then scroll down to Scheduling Rules

  • Can block staff with expired credentials from verifying appointments
