Once insurance companies and plans are added into Kareo, you’ll need to make sure you have corresponding funders set up in Rethink to map in your billing export

Prior to adding a new funder in Rethink, make sure you have your new insurance company listed as a “Billing Kareo Payor” option

Login to Rethink > Company Account > Billing Kareo Payors

This list will be pre-populated with default Kareo payors, scroll through the list to check if your insurance company you just added in Kareo is listed. If it is, no further action needed

IMPORTANT: the Billing Kareo Payor must match the insurance company name exactly as outlined/added in Kareo

If the payor is not in the designated list or the name does not match exactly, click  in the upper right corner to “+Add” a new payor

Type in name exactly as outlined in Kareo (for Insurance Company, NOT plan)

To add a new Funder in Rethink

Login to Rethink > Company Account > Funders > Add Funder

Input all identifying information related to funder to save funder

1. Funder Type

2. Vendor ID

3. Name

4. Kareo Payer

5. Applicable Contact Information

6. Combine Rules

7. Scheduling rules

8. Insurance Plan(s)

9. Coverage Type

10. Facility Location

11. Any applicable notes

• Funder Type: Options are Insurance, Other, Private Pay

• Vendor ID is the electronic payor ID listed in Kareo

• Name: you can name this whatever you would like and is used for internal identification only

• Kareo Payor: This is the Kareo Insurance Company

• Kareo - Report Appointment Time on Service Line - this option will allow for session times to be pulled onto billing export (column K) that will transpire onto claim form as a line note

• Combine Rules: based on funder guidelines

• •  Do Not Combine- Tricare, typically schools, private pay.

  • Combine Charges for Same Day, Client, and Procedure - typically selected for your commercial payors

  • Combine Charges for Same Day, Client, Procedure, and Rendering Provider - typically selected for Medicaid

• Insurance Plan(s): This should be exactly the same as the insurance plan created in Kareo

Associate clients with new plans

All clients must be associated with an insurance plan when adding an individual funder in their chart.

1. To associate clients with new plan, you will need to go to each individual chart and click on the client’s funder.

Rethink > Clients > Select Client > Funder > View

2. View/Add funder for client

Edit > Plan Name > Select appropriate plan name added under the funder in the company account > save

Once a funder is selected/assigned, plan names will become available as a drop down. Select most appropriate plan based on client.

When editing or adding a funder, plan name will be an option.

Notes: Once Funders and clients are mapped over to match Kareo payors/plans, this will allow your billing export to successfully sync and will avoid any potential failures. Helpful guide for remembering how to set up Rethink properly is to reference the “Find Insurance Plan” screen in Kareo which outlines the set up exactly.
