We need to alert Team members at the building and regional levels when behavior plan review dates are approaching and have expired within a two day time frame.

User Stories:

  • As a regional special education supervisor I need to know ahead of time when all review dates are coming up so that I can keep up to date with the progress of each active behavior plan in our region.

  • As a building administrator I need to know ahead of time when all review dates are coming up so that I can arrange my schedule to attend meetings for each one.

  • As a teacher who has a student with an upcoming review date, I need to be reminded ahead of time so that I will have time to prepare for any meeting we may have with the Behavior Plan team members.

Acceptance Criteria:

  • Given I am a User with access to MTSS interventions (all tools or Behavior Plans and Behavior Tracking enabled) and permission to Behavior support >Receive Alerts I will see receive alerts for upcoming and missed review dates.

Classroom Alerts

UI:

  • From Classroom, user sees Behavior Plan Alerts

  • User can click arrow to view details of Behavior Alert

  • To view student reports-Behavior Plan, user clicks on Student Name

Business Rules:

  • Users with access to MTSS Interventions (all tools or Behavior Plans and Behavior Tracking enabled) and permission to Behavior support → Receive Alerts will see alerts for Behavior Plans

  • If all alerts are triggered for a given time period, the alerts show in the following order: Incident Alerts (Total students), Incident alerts (10 days in school suspension), Incident alerts (out of school suspension), Behavior Tracking, Points alerts, and then Behavior Plan Alerts.

  • There are two alerts for Behavior Plan: Upcoming Review Date and Missed Review Date. (See: Alerts Account Settings for more information)

Card Contents

  • Depending on permissions set in Alerts Account Settings, the card contents will include one or both of the following Alerts:

    • Alert Criteria: Upcoming Review Date

      • Alert is sent 2 days before the review date. (See Behavior Plan Approval Process for Review date look for Plan Information)

    • Alert Criteria: Missed Review Date

      • Alert is sent 2 days after the review date has passed.

  • The Behavior plan name is shown under the heading: Plan. (See Behavior Plan Approval Process and look for Plan Information).

  • The date is the date the alert was sent.

  • The total number of active plans shows under Plans

  • The next upcoming Behavior Review Date will show under Review date

  • The details will show the names of the students with active plans included in the total plans total and the Dates are the dates show the review dates. The dates that trigger the 2 days after alert will show in red. The dates that trigger before alert will be black.

  • If user clicks on Student Name, then they are taken to Student Reports directly to the Behavior Plans tab and land on the Active Tab.

  • Behavior alerts are only for active behavior plans with designated review dates.

  • The default date will be the last 7 days.

Behavior Tracking Alerts:

  • A student can have multiple behavior tracking supports in place for different behaviors.

  • Given 1 student has a single behavior tracking support and three weeks of no progress has occurred, then it is listed as 1 student and 1 occurrence.

  • Given 1 student has 2 behavior tracking supports established and both have had three weeks of no progress, then it is shown as 1 student and 2 occurrences.

  • Occurrence means the number of behavior tracking supports that have three weeks of no progress.

Points Alerts:

  • A single student can trigger an alert for more than one behavior.

  • Given 1 student has triggered an alert for 1 behavior, then it is listed as 1 student and 1 occurrence.

  • Given 1 student has triggered an alert for multiple behaviors, then each of those behaviors is listed as an occurrence.

  • Occurrence means the number of behaviors that have triggered the alert.


Admin Alerts

UI:

  • Admin user sees Upcoming Reviews and Expired Reviews for Behavior Plan Alerts.

  • To open/close tab and view more information about a Behavior Plan, user clicks on arrows.

  • To view the Behavior Plan in it’s active status, user clicks on View Plan button.

Business Rules:

  • Users with access to MTSS Interventions (all tools or Behavior Plans and Behavior Tracking enabled) and permission to Behavior support → Receive Alerts will see alerts for Behavior Plans

  • There are two alerts for Behavior Plan: Upcoming Review Date and Missed Review Date. (See: Alerts Account Settings for more information)

Card Contents:

  • The alerts are the column headings: Upcoming Reviews and Expired Reviews and remain consistent

  • The row labeled Total contains a number for the total number of Upcoming Reviews and the total number of Expired Reviews beneath their respective headings for the selected period of time.

  • The default date is the last 7 days.

  • If the user selects the down arrow for a selected student, then the behaviors heading, list of behaviors and the view Plan button will show.

    • The behavior(s) shown under the Behaviors heading come from the Behavior Plan. (See Behavior Plan Approval Process and look for Behaviors).

    • If User selects View Plan button, then they are taken to view the Behavior Plan in it’s active status. (See Image: Active Behavior Plan.)
