Rethink Use for Parents and Caregivers.

Providing a parent(s)/caregiver(s) access to Rethink is optional. To use Rethink as a parent, there are several steps from an administrative standpoint that need to be completed first.

Setting Up Parent Permissions

Prior to inviting a parent/caregiver to use Rethink, first set permissions for their Role.

Editing permissions are completed within the Company Account tab by administrative staff/leadership teams

Role 5 is the Role for Contacts. It is currently set with default permissions. You may edit these permissions if needed. See the Good to Know column to the right for a description of the defaulted permissions.

 

 

Recommended Settings in Role 5:

  • Client Access - This is set to clients assigned to user (client of which they are a contact of) and to be able to VIEW their clients information only

  • Rethink Assessment - View/Edit if you ever needed parents to complete a Rethink Assessment for you that you’ve sent to them

  • Client Program - Can view skill acquisition goals (no editing)

  • Behavior Support - Can view Behavior Support plans created (no editing)

  • Analyze Data - This allows them to create and view graphs of programs (if de-selected, a supervisor can share copies of graphs in the Filing Cabinet)

  • File Cabinet - They will have access to the Shared Folders Only. Any files intended for the parent/caregiver are to be placed in those folders to see.

    • Typically allow them to View, Download and Upload

  • Resource and Training Center - Helpful to have access to the Intro to Autism and ABA Training for general overview of behavioral concepts

    • Progress of this training can be viewed in the Reporting Dashboard under Training Report or Detailed Training Report. Filter the training search to say Contacts as the title.

  • Scheduling - If you use our business solutions product, contacts will have access to VIEW and VERIFY appointments

  • Data Entry: If you are wanting parents to collect data in Rethink, the enter data permission needs to be granted (they would be collecting data the same way (via website or mobile-app) as any staff member)

Preparing Client’s Profile for Parent Use

Prepare the Client’s profile for parent access (if needed). Tips on how to complete the below are in the Good to Know area

  • Setup programming if parents are to collect data

  • Create written data sheets for parents if not collecting data electronically

  • Setup the folders in the Shared Folders area of the File Cabinet

  • Assign assessments within the assessment tab to a parent if needing to complete

Tips for preparing for Parent Access:

If parents are to be collecting data, consider duplicating goals and retitling to have Parent Goal within the title. This way they would be collecting data within their own program versus a program a staff collected data within

  • E.g. Washing Hands - Parent Goal

    • You can then edit the anecdotal language of the goal to be parent friendly

Set up the Filing Cabinets Shared Folders section for parent viewing

  • Folders created underneath SHARED FOLDERS need to be assigned to a contact

  • IMPORTANT: Assignments to folders cannot occur until the parent has LOGGED IN to Rethink, consider making the folders and assigning after the parent has logged in

Create a Custom Data Sheets for Parents.

  • This can be completed within the Data Entry tab, under ACTIONS

    • Data Sheets can be saved to the Shared Folders section of the Filing Cabinet

 

Assessments

  • Assessments need to be Sent to Contact via the Assessment tab to be seen in the Filing Cabinet

Granting Parent Access as a Contact

 

The next step is granting individual parent access for each client. This requires both adding the contact in the system AND inviting them to use Rethink.

For parents with multiple children in Rethink, a contact needs to be set up with each child using a different email address for each contact listed under a child. Each email address may only be used once.

To add a parent as a contact, go to the CLIENT INFO TAB in the client’s profile and add a new contact.

  • If a contact was already added, but you now want to invite them to use Rethink, EDIT the current contact and follow the next few steps

Fill in all information needed. Make sure to ADD AN EMAIL ADDRESS

Select the option CREATE SYSTEM LOGIN FOR CONTACT

 

Once this is saved, the parent will receive a registration email with a verification code from Rethink. They need to create their log in within 48 hours.

 

In red text “Contact registration sent on mm/dd/yy” will appear to record the date that the registration was sent out to the client contacts email.

 

In blue text “Registered contact” will appear when the client contact email has successfully been registered using the correct verification code sent to the registration email.

If a parent/contact does not create their log in within 48 hours, you’ll need to resend their verification code.

You can view which code has expired within the individual contacts information

This message will remain until the organization resends the verification code

 

Steps to Resend Verification Code:

1. Go back to their contact information in the client’s profile.

2. Select the “Resend Verification Code to Create System Login for Contact” checkbox and Press Save.

3. The parent should then receive a new registration email from Rethink, remind the parent to make sure they log in within 48 hours of receiving the email.

Providing Rethink Resources for Parents

After the account has been setup and prepared for a parent to use Rethink and you have invited them to create a login and password, provide them with an overview of the platform for their vantage point.

Below is a resource to provide directly to parents to assist them with learning how to use Rethink. Please note, learning how to use Rethink depends on how your individual company needs a parent/caregiver to use Rethink. Additional training may need to be given to them by your internal staff.
