Staff File Cabinet Overview

This tutorial provides an overview of the functionality of the staff filing cabinet feature with the assumption your company has provided the appropriate permission per each function.

This feature is intended for Company Admin Personnel and Managers who will be responsible for administering or managing staff documentation.

SETTING PERMISSIONS 


For users that need to access OTHER staff or their own Filing Cabinet the following minimum options need to be selected: 


  1. Staff Member Info>View Staff Info

Provides access to the STAFF MODULE

 2. Staff Profile Access

Controls which staff profiles can be accessed

  1. Staff Filing Cabinet>View

Provides access to the Filing Cabinet


TIP: Select Add/Edit Folders if you want a specific staff member to Add, Edit or delete their own folders

ACCESS the File Cabinet


Go to Staff Members>Locate Staff >Click on staff name


THEN click on FILE CABINET

There is one DEFAULT folder "Staff Files".

This folder is not modifiable but you can add new folders at anytime .


Tip: If you will be providing access to the Staff Filing Cabinet to other staff members and do not want them to have access to the Staff Files Folder, we recommend not uploading files to this folder.


This folder will be viewable to any staff that has been provided permissions outlined in the Staff Permissions above.


ADD FOLDER(S)

Click "ADD NEW FOLDER"

then 

Name the new folder and click SAVE.


Tip: If you do not want other staff members to access another staff member folder

UNCHECK "Shared Folder"


Maximum # of folders is 50 for any staff profile

MODIFY FOLDER(S)

Click Edit or Delete

UPLOAD FILES

FIRST Select the folder you want to upload the file into

THEN click on CHOOSE FILE.


Tip:

  1. Files can also be dragged and dropped from your computer by dragging the file into the "choose file" icon.
  2. Multiple Files can be uploaded at a time.







(MAXIMUM file size 50Mb)

The following  file types can be uploaded to the staff Filing Cabinet

Document Types (docx, pptx, pdf, txt)

 Image Types (jpg, jpeg, tiff, 

Video types (avi, mpeg, .mov)

Sound files (mp3, wav)

Compressed file formats (rar, zip)

Copy, Download or Delete Multiple Files

Select the files you want to include in the action you need to perform

Then Select 

"Download, Copy or Delete"
