Complete Session Notes from the Collect Data Menu

  • Click on the Collect Data Menu,

  • Continue through steps to collect data

 

 

 

 

 

 

 

 

 

 

 

AFTER you’ve collected data

  • Click on “Choose an Appointment”

 

 

 

 

 

 

 

 

 

 

  • THEN select the appointment you want to connect the session to.

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

  • If you are assigned multiple sessions per client per day, all session times will display as options.

  • Billable and Client Non-Billable appointments will display.

  • Only Non-Billable appointments that had a client selected will be visible.

  • The main purpose for “connecting” a data session to an appointment allows users to pull in the data to session notes only if the “Daily Summary Data” field is added to the Session Note Templates.

Click VERIFY:

 

*Verification of appointments is typically done at the end of your therapy session.

 

 

 

  • Data can be collected and synced without verifying or completing session notes.

You will be directed to the session details screen

There will be 3 sections:

DETAILS > VERIFY > NOTES

 

  • Users are not required to verify or complete session notes before syncing but we do recommend it especially if you want to link the data collected to a specific appointment.

Verifying Appointments

  • Click on VERIFY to complete a staff and/or parent verification.

 

 

 

 

 

  • Once the staff verification has been completed the Verify icon will turn Green.

  • In this release the APP is not confirming if a Parent Verification is a company requirement, so be sure to check with your company administrator if you are not sure.

Complete Session Note

Click NOTE

Then Select Template and complete relevant fields

 

  • Once both verify & notes have a green check box the appointment is ready to be synced.

Incomplete Session Notes

A red exclamation point on the “notes” icon indicates required information is missing.

 

  • Users can sync without completing the session note template, but will need to complete on the website version at a later time.

Changing Template Selection

A warning message will appear informing you that changing the existing template will result in losing changes made to the previous template.

 

If you really do want to make the change click “YES”

Session Note Daily Data Summary Options

  • When completing a billable or Client non billable session note with data collection linked there are multiple options to select as seen with the image to the right.

 

  • By default the “Collected By” will default to the logged in user.

  • To bring in data collected by other users or ALL users click on the “>” icon.

  • Daily Data Summary Options:

    You can click on the More information icon to see these details below.

    • Include ALL data points

      • All linked and unlinked data points recorded for the client on the day of the appointment (by any staff member).

    • Include Only Linked data points

      • Only linked data to the appointment recorded by the logged user.

    • Check Box

      • This is used if the staff member wants to link any unlinked data to the appointment. It would link any unlinked data recorded by whoever is selected in the collected by field whether it’s a specific staff member or all.

Syncing and Sync Confirmation

  • Once all required fields of the session note have been entered & the session has been verified the next step is to sync the completed appointment details, verification, session note, and data. To do so click “Sync” in the top right hand corner.

 

 

 

 

  • Once “Sync” is clicked, a screen will pop-up, “Are you sure you want to sync?” In order to save these details to the server, the user must select “Yes”

 

 

 

 

 

 

 

 

 

 

  • Once the sync has been successful, you will receive a message stating “Sync Successful”, Press OK

 

 

 

 

  • Users may sync without verifying or completing session notes

Offline Mode with Session Notes

To add a session note with data entered offline, follow the steps below:

  • Log in with connection, PreSelect clients and programs

  • Log out

  • Log in WITHOUT connection, collect data, view appointments, verify, and enter session notes

  • Press Sync

  • As soon as possible, Log in WITH connection and ALL data syncs.

 

 

Enter billable and nonbillable session notes WITHOUT data collection, follow the steps below:

Complete Session Notes from the Calendar Menu:

Click on the Calendar Menu

 

 

  • Staff Members will have access to their own appointments with this release.

  • Staff Members will be able to verify session times and complete session notes

  • New appointments must be added or edited on the website version.

Select appointment

 

Appointment Types in the Calendar:

The appointment type colors will match up to the color coded appointments on the website.

Blue = Non-Billable

Green = Billable

Orange= Billable with Billing Issues

Yellow = Travel

Once an appointment has been opened, you will see 3 sections:

  • DETAILS

  • VERIFY

  • NOTES

To complete a session note

select NOTES

Click on “Select Template”

Then select applicable session note template:

Complete Session Note Template

 

  • If you leave the Notes tab and have not completed all required fields the system will apply a red exclamation point & red text of the note will remain until all required fields have been completed.

  • The green checkbox will appear, when all required session notes have been completed.

Sync completed Session Note

Click the SYNC icon.

If all is good you will see a pop up informing you the sync has been successful.

 

  • If you also want to complete a staff or parent verification you can go back to the “verify” tab, then sync.

  • If you sync a note and forget to verify, don’t worry you can verify your time and sync again.

Verify Non-Billable, Travel & Billable Appointments

  •  Users can change or Edit a verified appointment on the website version.

Once all required fields of the session note have been entered & the session has been verified the next step is to sync the completed appointment details. To do so click “Sync”

 

  • If a note is started, then another area of the appointment is opened/modified within the mobile app OR you are logged out of the app - Rethink will save a draft of the session note which can then be updated on the browser/website at RethinkBH.com

Once “Sync” is clicked the following screen will pop-up, in order to save these details to the server, the Staff Members must select “Yes”

View Completed Appointments

 

 

  •  After syncing the APP will display “completed” if all company appointment requirements have been met.
